Privacy Policy

1. Information We Collect. The information ShowRing Central may collect depends on how you use the Service.

Organisers and authorised users. We may collect information such as your name, email address, account and login information, and information required to administer your ShowRing Central account and shows.

Show information. Organisers may provide information including show programs, classes, rings, schedules, announcements, sponsors and other information required to create and operate a show through ShowRing Central.

Entrants and Results. Where an organiser uses Entrants or Results features, ShowRing Central may receive limited information required to operate those features, including:

• competitor, rider or handler name
• horse or exhibit name
• entry or exhibit number, where applicable
• classes entered
• check-in or attendance status
• placings, Championships, Reserves and other show results

ShowRing Central does not require competitors' payment details, home addresses, phone numbers, email addresses or emergency contact information to provide its Results service.

2. Smart Importer and Uploaded Files. ShowRing Central may allow organisers to upload show programs, entry information and other show documents in formats such as PDF, spreadsheet or CSV.

ShowRing Central may use automated document-processing technology, including AI-assisted tools, to read, extract, organise and match information from uploaded documents.

Our systems are designed to use the information reasonably required to provide the relevant ShowRing Central feature.

Organisers should avoid uploading personal information that is not required for the operation of their show through ShowRing Central.

3. Information Provided by Show Organisers. Show organisers may provide entrant, competitor, horse, exhibit and other show information to ShowRing Central.

Organisers are responsible for ensuring they have the appropriate authority to provide that information to ShowRing Central and, where applicable, to authorise its public display.

ShowRing Central does not require competitors to create an account simply for an organiser to include appropriate entrant or results information within a show.

4. Public Show Information. ShowRing Central is designed to make relevant show information readily available to competitors, spectators and other people following an event.

Depending on the features enabled by the organiser, publicly displayed information may include:

• show and program information
• ring and class information
• competitor, rider or handler name
• horse or exhibit name
• entry or exhibit number
• classes entered
• published placings and results
• Championships and Reserves
• sponsor information
• show announcements

Entrant and Results information is displayed publicly only where the relevant show features have been enabled by the organiser.

ShowRing Central does not intentionally publish private contact, payment or emergency-contact information as part of its public show information.

5. Organiser Authority. Where an organiser chooses to provide or publicly display entrant and Results information through ShowRing Central, the organiser is responsible for ensuring they have the appropriate rights, permissions, consents or authority to do so.

ShowRing Central may require an organiser to confirm this authority before public entrant or Results features are enabled.

6. Authorised Show Personnel. Organisers may provide limited ShowRing Central access to people involved in operating their show.

Depending on their role, this may include Stewards, Judges, Announcers, Results personnel and other authorised show officials.

Access may include information reasonably required for that person to perform their role, such as entrant and class information, check-in status, judging information or Results awaiting announcement or publication.

ShowRing Central is designed so that different authorised roles can be provided with access appropriate to their responsibilities.

7. Sponsors. Organisers may provide sponsor information such as business names, logos and website or social-media links.

Sponsor information may be displayed in association with a show, ring, class, announcement or Result where the organiser has assigned that sponsorship.

8. Technical and Service Information. When ShowRing Central is used, certain technical information may be collected automatically by ShowRing Central or its service providers.

This may include information such as device and browser information, IP address, timestamps, system logs, security information and information about how the Service is being used.

This information may be used to operate, secure, maintain and improve the Service and to diagnose technical problems.

9. How We Use Information. ShowRing Central may use information to:

• create and manage shows
• provide ClassCall LIVE
• display programs, rings and classes
• process uploaded programs and entry information
• match entrants with classes
• provide Entrants and Results features
• support Steward, Judge, Announcer and Organiser workflows
• publish authorised show information
• display sponsor information
• provide support
• communicate information about the Service
• maintain the security and reliability of ShowRing Central
• diagnose technical problems
• improve ShowRing Central and its features

10. Sharing of Information. ShowRing Central may share information:

• publicly, where an organiser has enabled public show information
• with authorised show personnel where required to operate the show
• with technology and service providers required to operate, secure and maintain ShowRing Central
• where required or authorised by law

ShowRing Central does not sell personal information.

11. Storage and Overseas Processing. ShowRing Central uses trusted third-party technology and cloud service providers to operate and secure the Service.

Information may therefore be stored or processed outside Australia, including in the United States and other countries in which our service providers operate.

We take reasonable steps to protect personal information and to use reputable service providers.

12. Security. ShowRing Central takes reasonable steps to protect information from misuse, interference, loss and unauthorised access, modification or disclosure.

No online service can guarantee absolute security. Organisers and authorised users are also responsible for protecting their account and access information.

13. Retention. ShowRing Central retains information for as long as reasonably necessary to provide the Service, maintain appropriate show records, meet legitimate operational requirements and comply with applicable legal obligations.

Information may be deleted or de-identified when it is no longer reasonably required.

14. Access and Correction. If you believe ShowRing Central holds personal information about you that is incorrect or requires updating, or you would like to request access to personal information held about you, you may contact us.

Where information has been supplied by a show organiser, we may need to work with that organiser to verify or correct show-related information.

15. Children and Junior Competitors. Shows may include children and junior competitors.

ShowRing Central may display appropriate junior competitor information as part of a show program, entrant list or published Result where the show organiser has the appropriate authority to provide and publish that information.

ShowRing Central does not require additional personal information about a competitor simply because they are a child or junior competitor.

16. Privacy Questions and Complaints. If you have a question, concern or complaint about privacy or the way ShowRing Central has handled personal information, please contact us.

We will take reasonable steps to review and respond to privacy enquiries and complaints.

17. Changes to This Privacy Policy. ShowRing Central may update this Privacy Policy from time to time as the Service develops or legal requirements change.

The current version will be published on the ShowRing Central website with the date it was last updated.
